Who Is FreshBooks For?

They created FreshBooks specifically to meet the needs of service-based businesses that apply professional expertise to solving their customers’ problems.

It works particularly well for small business owners who want to manage their accounting needs on their phones and tablets with FreshBooks mobile apps. These synchronize automatically with the web application, ensuring a seamless transition between the office and those in the field.

Who Is FreshBooks NOT For?

If you have a traditional brick-and-mortar, retail company, then this software may not be right for you. It’s also less than ideal for businesses that are primarily manufacturing or distributing physical goods as it does not track inventories or cost of goods sold.

Additionally, it may not work well for discussion-based businesses as it does not have any tools for handling phone calls or chats.

All Things Considered . . .

FreshBooks knows you started a company to pursue your passion and serve your customers, and not to learn accounting. They have a longstanding tradition of providing extraordinary customer service and building products that help save you time and money.

This is an industry-leading, cloud-based suite of accounting software built specifically for small businesses and start-ups. If you’re a freelancer or run any type of service business, FreshBooks deserves a look.

FreshBooks Basics Review

I have compiled all the information you need to know ‌about‌ ‌FreshBooks. Here is an overview of their software.

What Is FreshBooks?

FreshBooks is a cloud invoice and accounting software that caters to small businesses and freelancers. Based out of Toronto since 2004, it is one of the most popular software programs for these types of companies because it offers a lot for its low cost.

Operated by 2ndSite, Inc., FreshBooks offers a full suite of features using the Software as a Service model.

What Does FreshBooks Do?

FreshBooks includes thirteen different tools for small businesses.

1. Accounting Software

As you would expect, FreshBooks performs all basic accounting functions. It will generate profit-and-loss statements, balance sheets, and cash flow statements so that you can keep a close eye on the finances in your business. It maintains your accounts payable and keeps your bills organized.

Although simple enough for any business owner to use, FreshBooks is designed so that your accountant can go into the program and generate reports with just a few clicks. This way, they can help you plan for the growth of your company.

FreshBooks allows you to connect your bank and credit card accounts to the program. This auto-import feature eliminates the risk of manual entry errors. It also means that your accountant can do a more in-depth analysis of how you are managing the finances of your company. Finally, you can prepare for tax time by organizing and reconciling these transactions.

2. Integrations

With over 100 different integrations available, FreshBooks has an integration for every sector of your business. Here are some examples:

  • If you work in e-commerce, you can integrate your Shopify or WooCommerce stores within the program.
  • You can manage client scheduling via Calendly or Acuity Scheduling.
  • If you need a form builder for lead tracking, Wufoo, Gravity, 123 FormBuilder, and others will integrate seamlessly.
  • Many marketing tools are available for integration, including Hubspot, MailChimp, AWeber, and more.
  • Zoom and Slack integrations can assist with remote team management.
  • You can integrate Stripe and Square payments to automatically populate FreshBooks.

The versatility of the FreshBooks’ integration system is an exceptional selling point as it makes it easy for any small business to grow without needing external assistance or hiring consultants.

3. Expense Tracking

FreshBooks has a number of functions that make it easier to track and report your expenses.

As you would expect from a modern business management tool, you can digitize and store receipts within the software and turn them into expenses. Additionally, connecting your bank and credit card to FreshBooks automatically creates mistake-free and up-to-date expenses in the program.

The expense tracker in FreshBooks has a number of features that help make it simpler to manage and maintain records. The software allows you to create any number of expense categories so that you can better organize your finances. With the push of a button, you can generate expense reports to make tax filing simple and quick.

4. Mileage Tracking

The FreshBooks mileage tracking system will automatically sync your mileage records with the other features of the software. You can use this data to calculate taxes and overtime for business travel, or you can simply save it as a reference point.

By logging each trip you can maximize the business use of your vehicles and save on your taxes. Using simple controls, any trip can be classified quickly and painlessly as personal or company-related. Rather than logging on paper, FreshBooks facilitates the download of the mileage report to the program or your email.

The mileage tracker creates accurate statements that will help you reduce your taxable income by deducting qualified business miles.

5. Payments

FreshBooks gives you a wide variety of ways to get paid for your goods and services.

Whether you use invoicing, in person, or on the phone, the program can accept credit card and ACH payments to your bank account. You can also fully automate the process by creating subscriptions for repeat customers.

As online payments come in, the software will notify you and insert the transaction into your records automatically. It will track any fees associated with the payment as expenses, making bookkeeping effortless.

Your customers can pay through PayPal, Stripe, or FreshBooks’ proprietary payment program. And your clients can securely store their credit card information on the FreshBooks site, allowing you to set up recurring payment plans.

6. Proposals

If your industry requires the writing of business proposals, FreshBooks has you covered. With the program’s proposal module, you can draft customizable proposals with ease and even send them to clients right from FreshBooks’ interface.

You can customize your scope of work to meet your clients’ needs while proposing pricing and timelines that they may comment on, approve, and sign for directly within the program. You can check the status of your proposal at a glance and learn if it was seen, reviewed, or accepted.

Finally, you can convert the proposal into an invoice, ensuring you get paid rapidly upon completion of the work.

7. Time Tracking

FreshBooks is designed to help keep track of you and your employees’ time with a timesheet program. Users can add time entries from within the app, choose an hourly rate for each day and create invoices. There is a built-in timer that eliminates the guesswork from determining how much time you spent on a client’s project.

The time tracker centralizes your entire team’s time tracking into a single location. Time can be reallocated between members and clients to ensure that it is properly assigned.

The FreshBooks software automatically populates client invoices with time entries that are then billed directly and correctly to those customers.

8. Client Management

If you’re like most business owners, then your software needs extend beyond accounting. You want to be able to create and manage customer relationships with contact management tools.

FreshBooks keeps your clients’ estimates, invoices, and payments in one convenient location so that you can serve them better.

The Project Tracking function helps you keep your clients informed about the status of their project and time billed. Additionally, the Client Portal and File Sharing solutions improve your communication and transparency with your customers. You can also build loyalty with your client base by providing discounts and credits.

The software creates client reports that accurately describe their accounts, revenues, payments, and more. This way, you can quickly determine which clients are providing your company with the greatest value.

9. Estimates

If you create estimates, FreshBooks software does this for you in a readable and well-organized manner. You can even add a personal statement to the estimate to encourage commitment from the client.

Your customers can approve your estimates online, allowing you to get to work (and get paid) faster. You can turn every estimate into an invoice, improving the accuracy and timeliness of payment.

In the program, you can find out immediately if your estimate has been accepted or if they have not even viewed it. You can respond to client questions right within the program, engaging with the client and maximizing your chances of winning the job.

10. Invoicing Software

In FreshBooks, you can create professional invoices in minutes with no design expertise required. You can customize your invoice to match the company branding you have been working on for years. And even better, with this billing software, there is no need to create a separate file for your clients—FreshBooks allows exporting invoices as PDFs.

As an important part of any small business, FreshBooks offers invoicing tools that are simple and intuitive. You can email your clients an invoice with just one click or enter it manually if you don’t have a client’s account number entered.

FreshBooks will generate and send recurring invoices automatically for clients when you’re ready to charge them. Your customers can pay online with credit cards, PayPal, or FreshBooks (EFT) and then receive an email notification about the payment. You’ll get a confirmation message of the transaction for your records.

You can track your time and expenses to your invoices and also request a deposit on your invoice within the software. This allows you to bill your clients for the work you do or for a retainer of your time.

11. Mobile Apps

FreshBooks has a powerful, functional mobile app for both Android and iOS to assist with all your business management needs.

You can bill on the go, send invoices, and accept payments no matter where you are.

Expense logging is easy and fast. You can use your phone to take a picture of business receipts and log them as expenses or bill them to clients.

You can enter time directly into the FreshBooks mobile app which will sync it to your cloud-based client. That time can be directly billed to clients via robust invoicing.

And, of course, you have constant access to the most important aspects of your company. The app dashboard will show your profits, expenses, and other important information at the tap of the screen.

12. Project Management

FreshBooks Projects is a robust tool that allows you to manage projects and tasks within your company. This software lets you organize time, expenses, and invoices so that you get paid for all your effort.

All projects can be examined to look at profit, costs, and income. This helps you optimize your pricing, improve your profits, and minimize your costs.

The tool also acts as a communication platform for employees, contractors, and clients. Everyone can make notes and share files in order to maximize collaboration and forward progress.

You can create a project, give it an estimated cost, and add team members as the project progresses and then see all your progress in one place—from creating milestones with deadlines to assigning individual task lists.

13. Reports

FreshBooks offers an easy-to-use interface that includes many different reports for the owners of businesses. There is a variety of pre-made financial reports, as well as the ability to export data in CSV file or PDF formats. These are perfect for exporting your accounting information and sending it on to tax agencies or tax preparation services.

You need to have up-to-date revenue, profits, and expenses at your fingertips, and the Reports Dashboard gives them to you. You also can see which clients need an invoice and what revenue you have not yet billed for.

The depth of analysis is substantial. You can look at different time periods or currencies using filtering and then export the results. Your accounting team will have all the data they should ever need at their fingertips.

Public FreshBooks Reviews

It’s clear that we have great respect for FreshBooks, but we were interested in how other people feel about it.

To find out, we looked at reviews on four common websites: TrustPilot, Google Business, Facebook and GetApp. Reading how people reviewed FreshBooks provided us with additional insights into the product.

TrustPilot Customer Reviews

FreshBooks has an average review score of 4.0/5 on TrustPilot with 355 5-star out of 584 total reviews. 17 of the last 20 reviews were 5-star and they were all posted within the last 12 hours. The other three reviews were 4-star, so obviously, FreshBooks has a good reputation.

Many FreshBooks’ reviews focused on the quality of the project management software, ease of use, and the mobile apps. The time-tracking module and support team were also highly regarded.

Reading the negative reviews revealed a variety of different complaints, but the most common one was from customers who use FreshBooks but were dissatisfied that the company changed the user interface (UI) in April of 2021. They were not as comfortable with the new version of FreshBooks.

Of course, it is not uncommon for people to become very attached to a program’s UI and disconcerted when it changes. However, the new FreshBooks UI is very user-friendly and recent FreshBooks’ customers are generally pleased with it.

One other point in FreshBooks’ favor is that they responded to the negative reviews and turned over the complaints to their development team. They also encouraged further communication with the support team so that they could resolve individual problems.

Google Business Customer Reviews

On Google Business, FreshBooks has an average review score of 3.5 based on only 11 total reviews.

The positive FreshBooks reviews focused on the software’s ease of use and the excellence of the customer support team. Additionally, reviewers appreciate the invoicing software, the credit card payment options, expense management, and the ability to add freelancers.

The more negative critiques complained that the company charged in US dollars even though it is a Canada-based corporation. These Canadian reviewers felt this drove their FreshBooks payments up above where they should have been relative to the cost of the product south of the border.

Facebook Customer Reviews

FreshBooks has active social media engagement on their Facebook page. Although there were no reviews per se, the company responded rapidly to customers’ comments on the page.

They responded to any negative feedback via direct messaging and many of the clients came back to their original social media post to say that their problem had been resolved.

GetApp Customer Reviews

Rated 4.5/5 over the course of more than 3,500 reviews, FreshBooks upheld a long tradition of providing extraordinary customer service and building a product that helps save time because the company knows you went into business to pursue your passion and serve your customers – not to become an accountant.

92% of all reviews were positive, raving about FreshBooks’ simplicity and ease of use. Customers were thrilled with the FreshBooks’ features that allow them to track time, send recurring invoices, do double-entry accounting with ease, and have high-end project management.

The negative reviews were varied. One reviewer was concerned about the lack of two-factor identification. Another (who was an accountant by trade) did not like that FreshBooks did not communicate with other accounting programs. Still, others were not fond of the changes brought about in the new FreshBooks’ interface.

But those who used FreshBooks regularly were exceptionally pleased with this cloud-based software program.
